- Planning
- Planning begins with an approved media brief.
- Media plans are developed against approved media brief. If the plan is not executed, Clients may be subject to a planning fee.
- Allow 3—4 weeks for planning completion/presentation.
- Media Team is responsible for securing all media quotes.
- When Media is Approved
- Account must submit a WMJ project request for total media spend and media planning fee (if applicable).
- Media Coordinator sends insertion orders to publications to secure space. Insertion orders act as POs for media and will be sent to pubs only when the media buy estimate is approved.
- Media Coordinator creates close list with all paid and added value placement details.
- Media Traffic Manager secures all publisher spec. sheets.
- Account schedules team review of significant media plans including Digital, Creative, Production, Resource Management and Media Traffic Manager.
- Account updates close list with creative rotation, project numbers and UTM’s.
- Account monitors due dates and submits project reqeuests for asset creation, paying close attention to deadlines.
- Ongoing Plan Maintenance
- Account is responsible for managing ongoing plan deadlines for new asset creation, including opening projects well ahead of time to allow for layout/resizing/legal review/proofs, etc.
- Media planner/buyer/coordinator facilitates custom content development with Account.
- Client approval must be provided 5 business days before publisher due date to allow for testing and UTM confirmation. Magazine inserts require custom schedules.
- Account must notify Media Coordinator of any creative rotation changes immediately and update the close list with as-run project numbers and asset file names.
- Media Traffic Manager secures all publisher extensions and shares with Account, RM and Media Coordinator.
- Media Traffic Manager releases assets for paid and added value placements (not associated with custom content).
- Media Traffic Manager facilitates publication tests with Account (not associated with custome content).
- Media Traffic Manager updates Client contact sheets with as-run asset visuals, Account adds creative names.
Media Coordinator releases and facilitates pulications tests for custom content and all related components.
