Email Signatures

Learn how to add your email signature to Outlook on Windows and Mac

PC USERS

  1. Copy the generic signature below (highlight it all and click CTRL+c).
  2. Open a new Mail in Outlook and click on the "Signature" option in the header above (make sure your window is fully expanded).
  3. From the dropdown, select "Signatures."
  4. You can either create a new signature by hitting "+ Signature" or simply highlight any text in the current window and paste the copied signature (CTRL+v)
  5. Update the Name, Title and Phone Number to your information
    1. Pro Tip: In order to maintain fonts and formatting, start typing your name, title and phone after the current placeholder text, then go back and delete, "Name Here," "Title" and "000.000.0000"
    2. Additionally, please maintain periods in between your phone number and don't replace with dashes for consistency across the agency
  6. If you've created a new signature, you can set this new one as a "default signature" by selecting the appropriate option from the "For New Messages" and "For Replies/Forwards" dropdowns.
  7. Click save and close window. Select "ok."

MAC USERS

  1. Copy the signature with your name below (highlight it all and click Command+c).
  2. Open a new Mail in Outlook and click on the "Signature" option in the header above.
  3. Go to "Manage Signatures."
  4. In the "Signature Name" window click "+"
  5. Highlight any text/current signature in the current window and paste the copied signature (Command+v)
  6. Update the Name, Title and Phone Number to your information

    2. Additionally, please maintain periods in between your phone number and don't replace with dashes for consistency across the agency
  7. Change the name of your signature to something you'll remember, click save and close the window.
  8. Under "Choose Default Signature," select your new signature for "New Message" and "Replies/Forward."
